FAQ

Printing questions

More help: escort cards vs. place cards and how to make a seating chart.

Are these seating chart templates really free?

Yes. There is no sign-up and no watermark. A small "Made with Headtable" line prints at the bottom, and you can turn it off before printing.

Is my guest list uploaded anywhere?

No. The templates are built in your browser. The names, dates and guest lists you type never leave your device, and nothing is saved after you close the page.

What size should a wedding seating chart be?

For a display at the entrance, most couples print 18×24 in (or A2, close to it) and set it on an easel. Letter or A4 works for small dinners, as a copy for the venue coordinator, or as a handout. Choose Poster in the paper menu to get the large size.

How do I print a poster-size seating chart?

Choose Poster (18×24 in) or A2, click Print, and pick Save as PDF. Send the PDF to a print shop, which can print it on foam board or heavy paper. Chrome and Edge keep the exact page size best.

Should a seating chart be alphabetical or by table?

By table is easiest to read for up to about 100 guests. For larger weddings, an alphabetical list by last name helps guests find their name quickly. These templates print by table; Headtable can also print an alphabetical escort list from your guest list.

What paper should I use for place cards and table numbers?

Use cardstock, around 80–110 lb cover (about 216–300 gsm), so place cards stand up when folded and table numbers stay flat in a frame. Print a single test page on plain paper first.

How big are the table numbers and place cards?

Table numbers print as 5×7 in cards, one per page, with crop marks, to fit standard 5×7 frames. Place cards print six per page; each one is 3.5 in wide and folds to 3.5×1.65 in, with the name on both sides.
